AI Negotiation Agent Within Approved Pricing Limits

The discount question is where most AI sales tools either refuse to help or quietly make something up. REVENZA does neither: it retrieves the approved price, checks the authority you delegated, counters inside the ceiling, and escalates the exception with the full conversation attached.

The problem this solves

A customer asks for 10% off. Your price list says the package is fixed. Your sales manager would probably approve 7% for a three-branch order — but nobody wrote that down, so the reply waits until Monday. By Monday the customer has a quotation from someone else.

  • Discount authority exists in someone’s head, not in a rule anyone can apply.
  • Staff either over-discount to save the deal or refuse and lose it.
  • The customer experiences a delay exactly at the moment they were ready to decide.
  • Nobody can later explain why this customer got a different number.
Where this sits in the commercial journey

Late-stage: the customer has a recommended offer and an approved price, and is testing the commercial terms before committing.

REVENZA Sales

How REVENZA handles it

  1. 1

    Recognise the negotiation move

REVENZA separates a price question ("how much?") from a negotiation move ("can you do better?"). Only the second one triggers an authority check.

  2. 2

    Retrieve the trusted price

The current price comes from the single source you nominated. If it is missing, expired or ambiguous, the conversation escalates instead of continuing.

  3. 3

    Check the authority ceiling

Your configuration states the maximum autonomous concession — for example 5% on this package, for orders of three locations or more.

  4. 4

    Counter inside the limit

REVENZA offers the permitted concession, or an approved alternative of equivalent value — a longer term, an added service, a staged payment you have already authorised.

  5. 5

    Escalate the exception

If the customer holds at 10%, REVENZA does not decide. It sends the named approver the opportunity, the requested term, the margin impact and the full transcript.

  6. 6

    Record the outcome

Accepted quotation, deposit request, contract review, human handoff or a scheduled follow-up — with the agreed number and the authority it was granted under.

Customer

We need the wellness package for three branches. Your quote is 4,500 per branch — can you do 10% off?

REVENZA Sales

For three branches I can apply a 5% multi-location rate, which brings it to 4,275 per branch. I can also include the quarterly staff refresher at no charge — that is inside what I am authorised to offer today.

Price retrieved from approved list · authority ceiling 5% for 3+ locations

Customer

10% or we go with the other supplier.

REVENZA Sales

10% is above what I can approve, so I have sent it to our commercial lead with your volume and timeline. You will have a decision today, and the 5% offer stands in the meantime.

What your business has to provide

  • One current, authoritative price source per offer
  • A written autonomous concession ceiling, per package or per segment
  • Approved non-price alternatives (term, inclusion, payment staging)
  • A named approver and a response expectation for exceptions
  • A rule for what happens if the approver does not respond in time

Permissions

AI may act

  • Restate the current approved price
  • Apply a concession up to the written ceiling
  • Offer an approved non-price alternative
  • Hold an offer open for a stated period
  • Escalate with a complete context package

Human approval required

  • Any concession above the ceiling
  • A bespoke bundle or scope change
  • Non-standard payment terms
  • Matching a competitor quotation
  • Anything touching an existing contract

Never permitted

  • Inventing a discount, price or margin figure
  • Implying an approval that has not been given
  • Claiming a deadline or limited availability that does not exist
  • Continuing to negotiate after the customer asks for a person

What to measure

Time to counter-offer
Minutes from the discount request to a substantive commercial response.
Within-ceiling closes
Share of negotiated deals settled at or below the autonomous ceiling.
Escalation response time
Time between an escalation and the approver’s decision.
Average concession
Mean discount granted, split between autonomous and approved decisions.

Best fit

  • Prices are documented and current in one place.
  • A concession range already exists informally and can be written down.
  • Someone is accountable for pricing exceptions and can respond within a working day.
  • Volume, term or segment already changes the number you would agree to.

Poor fit

  • Every price is negotiated from scratch with no reference range.
  • Nobody is willing to define a ceiling in writing.
  • The deal depends on professional judgement that cannot be bounded — legal, clinical or engineering risk.
  • Approvals routinely take longer than the customer will wait.

Practical questions

Does the customer know they are negotiating with AI?
Yes where disclosure is required or where you choose to disclose. REVENZA is configured to state it plainly and to hand over on request. Concealing AI use where disclosure is required is prohibited.
What if the approved price is out of date?
REVENZA treats an expired or missing price as an escalation, not a gap to fill. It tells the customer it is confirming the current figure and notifies your owner.
Can it match a competitor’s quotation?
Only inside your ceiling. A match that requires more than the delegated concession is an exception and goes to your approver.
Will this reduce our discounting?
We do not publish a figure for that. What the pilot gives you is a written ceiling and a record of every concession, so you can measure your own discounting behaviour before and after.
